Privacy Policy
Last updated: 14 August 2026 | Version: 1.01. Introduction
This Privacy Policy explains how Kamtron Systems Private Limited ("Kamtron Systems", "we", "us", or "our") collects, uses, stores, shares, and protects personal data of visitors to and users of our website kamtrononline.com (the "Website"), in connection with our testing & measuring and software/IT solutions and services.
This Policy is framed in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Digital Personal Data Protection Rules, 2025 ("DPDP Rules"), and, where applicable, the Information Technology Act, 2000 and rules made thereunder. Under the DPDP Act, Kamtron Systems acts as a "Data Fiduciary" and you, as a visitor or user, are a "Data Principal".
By using the Website, you agree to the collection and use of your personal data as described in this Policy. If you do not agree, please do not use the Website.
2. Personal Data We Collect
We may collect the following categories of personal data when you interact with the Website:
Contact and identity information: name, email address, phone number, company name, and job title (e.g., when you submit a "Contact Us” form).
Inquiry and communication data: details of products/services you inquire about, and the content of any messages you send us.
Technical data: IP address, browser type, device information, and pages visited, collected automatically through cookies and similar technologies (see Section 7).
Usage data: information about how you use and navigate the Website.
We do not knowingly collect any sensitive personal data (such as financial information, health data, or government-issued identity numbers) through the Website unless you voluntarily provide it, for example while corresponding with our sales team about a specific commercial arrangement.
3. How We Collect Personal Data
We collect personal data:
Directly from you, when you fill out a form, request a quote, subscribe to updates, or otherwise contact us.
Automatically, through cookies, analytics tools, and similar technologies when you browse the Website.
4. Purpose of Processing
We process your personal data for the following specified and legitimate purposes:
Responding to inquiries and providing information about our testing & measuring and software/IT products and services.
Preparing quotations, proposals, and processing orders.
Improving and maintaining the Website's functionality and user experience.
Communicating updates, newsletters, or promotional material, where you have given consent.
Complying with applicable legal, regulatory, or contractual obligations.
Detecting, preventing, and addressing fraud, security, or technical issues.
We will not use your personal data for any purpose that is incompatible with the purpose for which it was originally collected, without seeking fresh consent where required.
5. Consent
Where we rely on your consent as the basis for processing (e.g., for marketing communications or non-essential cookies), we will seek your consent through a clear affirmative action (such as ticking a checkbox), presented in clear and plain language, and separate from other terms. You may withdraw your consent at any time, with the same ease with which it was given, by writing to our Grievance Officer at the details in Section 12. Withdrawal of consent will not affect the lawfulness of processing carried out before withdrawal, and we may retain limited data as required by law even after withdrawal.
Where processing is necessary for a "legitimate use" recognized under the DPDP Act (for example, to respond to a request you have voluntarily made, or for compliance with law), we may process your data without separate consent, consistent with the Act.
6. Sharing and Disclosure of Personal Data
We do not sell your personal data. We may share personal data with:
Service providers: third-party vendors who support our Website hosting (e.g., Squarespace), email, CRM, and analytics services, strictly to the extent necessary to provide these services, and bound by contractual confidentiality and data protection obligations.
Group entities: our testing & measuring and software/IT divisions, for internal business purposes.
Legal and regulatory authorities: where required to comply with applicable law, court orders, or governmental requests.
Professional advisors: such as auditors or legal counsel, where necessary.
Where any such recipient is located outside India, we will take reasonable steps to ensure your data continues to be protected in accordance with this Policy and the DPDP Act, which currently permits cross-border transfer of personal data except to countries specifically restricted by the Central Government.
7. Cookies and Tracking Technologies
We use cookies and similar tracking technologies on the Website to keep it secure, understand how it is used, and improve your browsing experience — including for purposes such as security, analytics, and customization. Some cookies (e.g., those required for the Website to function and remain secure) are essential and cannot be switched off; others (e.g., analytics or customization cookies) are non-essential and used only with your consent.
When you visit the Website, a cookie banner allows you to:
Accept All — consent to all cookies, including non-essential ones.
Decline All — allow only essential cookies required for the Website to function.
Manage Cookies — choose which categories of non-essential cookies you consent to.
You can change your preferences at any time by returning to the cookie banner or your browser settings; note that some features of the Website may not function properly if non-essential cookies are declined. Where required by law, we obtain your affirmative consent before placing non-essential cookies on your device.
8. Data Retention
We retain personal data only for as long as it continues to serve the purpose for which it was collected, or as required by applicable law — whichever is longer. In practice, this means:
Enquiry, contact, and quotation-related data is retained for as long as it relates to an active or reasonably prospective business relationship with you.
You may ask us to erase your data at any time (see Section 10), and we will do so unless we are legally required to retain it (e.g., for accounting, tax, or contractual record-keeping purposes).
Where we do not hear from you for an extended period and the data no longer serves an active purpose, we may erase it on our own initiative. If we operate such an inactivity-based deletion schedule, we will notify you at least 48 hours in advance, giving you the opportunity to retain your data by getting in touch with us.
System and security logs (as opposed to your enquiry data itself) are retained for a minimum of one year in accordance with the DPDP Rules.
We do not retain personal data indefinitely without a live purpose; if you have questions about how long your specific data has been or will be retained, contact our Grievance Officer.
9. Data Security
We implement reasonable technical and organizational security safeguards to protect personal data against unauthorized access, disclosure, alteration, or destruction, in line with the requirements of the DPDP Act and DPDP Rules. These include restricted access controls, secure hosting infrastructure, and use of reputable third-party platforms with their own security standards.
In the event of a personal data breach, we will notify the Data Protection Board of India and affected Data Principals in accordance with the timelines and manner prescribed under the DPDP Rules.
10. Your Rights as a Data Principal
Subject to the DPDP Act and applicable rules, you have the right to:
Access a summary of the personal data we hold about you and the processing activities undertaken.
Correct and update inaccurate or incomplete personal data.
Erase personal data that is no longer necessary for the purpose it was collected, unless retention is required by law.
Grievance redressal, including the right to have any complaint addressed by our Grievance Officer within a reasonable time.
Nominate another individual to exercise these rights on your behalf in the event of death or incapacity, in accordance with the DPDP Rules.
Withdraw consent at any time, where processing is based on consent (see Section 5).
To exercise any of these rights, please contact our Grievance Officer using the details in Section 12. We may need to verify your identity before acting on your request.
If you are not satisfied with our response, you have the right to file a complaint with the Data Protection Board of India.
11. Children's Data
The Website is intended for business and professional audiences and is not directed at individuals under 18 years of age. We do not knowingly collect personal data from children. If we become aware that we have inadvertently collected personal data from a child without verifiable parental/guardian consent, we will take steps to delete it.
12. Grievance Officer / Contact Us
In accordance with the DPDP Act and the Information Technology Act, 2000, we have designated a Grievance Officer to address any questions, concerns, or complaints regarding this Policy or our data practices. The same individual also acts as our point of contact for data protection queries under Rule 9 of the DPDP Rules:

13. Scope of This Policy
This Policy applies to personal data collected through the Website from visitors, prospective clients, and business contacts. It does not cover personal data of our employees, job applicants, or contractors, which is addressed under separate internal policies. This Policy also does not apply to third-party websites that may be linked from our Website; we are not responsible for the privacy practices or content of those external sites, and we encourage you to review their respective privacy policies.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The updated version will be posted on this page with a revised "Last updated" date. We encourage you to review this Policy periodically.
